Expenses and mileage
Record money you spend running your business — supplies, software, meals with clients, and mileage when you drive for work.
Add a regular expense
- Open Expenses in the menu.
- Add a new expense.
- Pick a category (Software, Office, Meals, etc.).
- Enter date, amount, vendor (store or company name), and description.
- Optionally link a customer if you will bill it back to them.
- Optionally attach a receipt photo — on a phone you can take a picture when you create the expense.
- Save.
Categories help your reports group spending for taxes and bookkeeping.
Mileage trips
Driving to see a client, pick up materials, or other business travel may count as mileage.
- From Expenses, add mileage (or open the mileage form).
- Enter date, from and to locations, and miles.
- The app applies the IRS standard mileage rate shown on your dashboard (dollars per mile).
- Save.
The home screen shows trips, miles, and deduction total for this month.
You can also import multiple trips from a spreadsheet if you track miles elsewhere first.
Recurring expenses
Bills that repeat every month or year — hosting, subscriptions, insurance — can be set up as recurring templates. The app can generate expense rows automatically when you open Expenses or the home screen. Edit the template if the amount changes.
Billable vs personal
- Billable to customer — mark expenses you will charge back on an invoice.
- Meals — often only partially deductible for taxes; the category name may remind you of limits.
- Whole-house costs (mortgage, utilities) — if you work from home, special flags may exclude the full bill from profit-and-loss totals so you apply the IRS home-office percentage separately. Ask your tax preparer if unsure.
Tips
- Photograph receipts when you pay — easier than reconstructing later.
- Log mileage soon after the trip while you remember the route.
- Use consistent vendor names so reports stay readable.
- Demo mode shows sample expenses but does not let you add or change them.
