Invoices
Invoices are bills you send to customers. Each invoice belongs to a customer and usually a contract.
Invoice statuses
| Status | Meaning |
|---|---|
| Draft | Still editing — not sent to the client yet |
| Sent | Issued — counts as open until paid |
| Paid | Client paid — used in reports by paid date |
The home screen shows how many open invoices you have and their total dollar amount.
Create an invoice
- Open Invoices in the menu.
- Start a new invoice.
- Select customer and contract.
- Set issue date and due date.
- Add line items — each line has a description, quantity, rate, and total. Common lines:
- Monthly retainer (flat fee)
- Extra hours beyond included cap
- Reimbursable expenses you are passing through
- Review the subtotal.
- Save as draft until you are ready to send.
Sending to clients
The app prepares invoice details and PDF-style views. How you deliver to the client depends on your process — email the PDF, your accounting tool, or print. Mark the invoice sent when it is out the door so your open balance stays accurate.
When payment arrives, mark it paid and enter the paid date. That date matters for year-end reports.
Pulling in time (if available)
Some workflows let you import time entries for a date range when building an invoice. You can choose which rows to bill and skip others. This saves retyping hours you already logged.
Tips
- Invoice numbers are assigned automatically — do not reuse numbers outside the app.
- Keep draft invoices until line items are final; sent invoices should reflect what the client actually owes.
- Match the contract on the invoice to the work you performed so retainer vs overtime lines make sense.
- Demo mode lets you view sample invoices but not create or edit them.
